Before Sunday

Hi all, Soon it will be Sunday, which means day zero of ICAPS! The summer school has gone really smoothly, the students seem to have enjoyed themselves and we had a good meal this evening. Tomorrow's schedule: 08:00 - Registration in the King's Building main entrance. This will be quiet, nominally only DC students. Dan and I can handle it. 08:30 - The DC schedule starts: -- Tanja: cover K2.31 -- Claudio: cover K2.40. Nothing is being videod, so there's no set-up. Your task is to keep an eye on time - some folk are rehearsing conference talks, so be strict on time. 10:00 - DC coffee break. More Pret, but let's streamline it: 08:00 - At the registration desk: I will ask people if they want tea or coffee, black or white (no complex options, smoothies, ...) 09:55 - I will go to Pret and order exactly these drinks 10:00 - You bring your students, just to crowd source carrying drinks back and to get people to stretch their legs 10:05 - They take their drinks and leave 10:10 - 20 minutes of coffee break left with snack in DC session 12:00 - Council meeting starts. Me/Dan/Amanda are out of action for the rest of the day from this point on. I have more free time than Dan/Amanda do, but I also have other things to be doing. 12:20 - DC lunch. This is not provided, but be friendly to the DC students and help them find somewhere. 13:30 - Lee's talk. 14:15 - Afternoon session of DC. Remember, Claudio: the K2.40 session needs to relocate to K2.41 (in the next room) as.... 15:00 - ICKEPS kicks off in K2.40. 15:45 - DC talks finish. Go take a 3-hour power nap. I'm not joking. Recommended are the couches outside Peter's office, or the seats in S-2.18. 19:45 - Those who are going - meet outside the King's building in the quad to head to the DC dinner at Masala Zone: https://www.google.co.uk/maps/dir/51.5113307,-0.1163418/Masala+Zone+Covent+… I won't be there as I'll be at the council dinner. Food is paid for already. ICAPS will cover £15 of drinks per person, please make sure this is known. That brings the drinks budget to £525 (or £590 after 12.5% service charge), and I'm sending cash with the party to settle up. There's one guy who due to his dietary requirements can't eat the food there, so will just be coming for drinks. Lee (one of the DC chairs) has been vague about whether he's coming to the meal, as he's also involved with ICKEPS. Pete (the other DC chair) is ignoring my emails so he might or might not be there, let's see. Fabio, on the other hand, actually exists. Hi Fabio! Update before Saturday

Hi all, Tomorrow's summer school catering is a bit different: we will be taking everyone to Pret for the coffee breaks. (The college wanted £300 to serve coffee at weekends.) I've pre-ordered food from there, but people need to go to choose and carry back drinks - they can't do 60 drinks to be ready all at the same time. I'll be arriving shortly before 10:30 to coordinate and pay for this. Someone took the tripod from K4U.12, for reference, where did it go? Tanja is on meet and greet in the morning; Atif in the afternoon. For dinner, we will depart here from the quad at 18:45 - venue is Fire and Stone in Covent Garden, table booked for 19:00. Update before Friday

Hi all, An update before Friday: - Liana is on meet and greet in the morning (at 8:45). - The summer school kit under Liana's desk. I added more water bottles and video consent forms. - The camera is in the summer school kit box. I've cleared the videos off it. Make sure there's no chair in front of it, to avoid a head being in shot, and be sure to plug it in. - Someone needs to collect the tie mic. Atif - what did you say to them yesterday when you collected it? They charged us money for hire today, but not yesterday, so perhaps you know some magic words. - When the morning catering arrives, please hide the small square paper plates, they encourage food hoarding. I'll arrive before the coffee break, again with bootleg extra food. As a final note: the lady who collapsed today is fine, she'd hyperventilated and it's happened to her before, so whilst it was a bit alarming for the rest of us, she was fine by the afternoon. Thanks to everyone for helping out and being generally nice. If there any further incidents, the general number for emergencies on campus is 2222, i.e. 02078482222 from your mobile. Use this rather than 999 to avoid multiple ambulances being called out by multiple people. Update before Thursday

Hi all, An update before Thursday: The summer school kit is by Wiktor's desk. There's a tripod, a narrow box containing speaker's packs, and a larger box containing everything else. Also a couple more extension leads in a bag, but I think we're okay for these. - Wiktor is on meet and greet in the morning (at 8:45). For everyone's reference, this job is: * Hand the speaker their name badge (from the narrow cardboard box) and a water bottle (from the larger box) * Ask them to write their name and work address on the video consent form, then sign the back * Ask them to write their name and home address on the expense claim form, then sign and date in bottom left. They can then return that to us, with receipts; or if they only have electronic receipts, they can email them to me. - Whilst Wiktor is doing that, there are three jobs: a) In the summer school box, there are two signs for the K4 corridor, to replace the ones that were (helpfully) cleared away today. One to go outside the lift, one by the little stairs up to K4U.12. The sign in the entrance hall will still be there. b) Collect a tie mic from the AV office, make sure the speaker uses it c) Take the camcorder out of the larger summer school box, put on the tripod where it was today, plugged in. Emre/Liana/Tanja know how to operate it. - In the afternoon, Liana is on meet and greet (at 13:45). Both speakers today made their own way to the room instead of following the instructions they were sent, so I suggest someone who will be in K4U.12 has Wiktor and Liana's phone number to let them know when they can just come upstairs. One student has said they will be arriving tomorrow - student packs are in the larger box, with the programmes and a water bottle for them. I expect they will follow signs straight to K4U.12. I'm going to arrive at about 10:30. If I'm late, there are spare biscuits in the summer school box - put these on the table next to the pastries.
